Privacy: what happens to a rent roll you upload
What is done with a file, what is recorded about your visit, and who else touches either.
In short
- A file is processed in memory and deleted after conversion. No copy of your PDF or of the result is kept.
- Pages that need a second look may be sent to Google's Gemini API. Google retains data sent to it for up to 55 days under Google's terms.
- Uploads are not used to train models.
- The free allowance needs no account. This site has no advertising scripts and no tracking pixels.
What happens to a file you upload
Your browser sends the PDF to this site's hosting on Cloudflare. The hosting layer relays it to a conversion service that runs on Modal. The service reads the pages in memory, extracts the tables, and returns the result. The CSV is built from that result and sent back to your browser. After conversion the file is deleted. Neither the PDF nor the CSV is stored.
When a page needs a second look
When the conversion service is unsure about a page, for example a faint scan, it may send that page to Google's Gemini API for a vision check. Google retains data sent to the API for up to 55 days under Google's terms. If a rent roll must never reach Google, do not upload it.
No training
RentRoll Engine does not use uploaded files to train models.
What is recorded about your visit
- A device identifier. A random identifier is stored in your browser's local storage and sent with each conversion, so the free allowance can be counted per browser. It is not a cookie and holds no personal details. Clearing your browser's site data removes it.
- A page code, if you enter one. It is kept in your browser's local storage and sent with each conversion so the conversion service can spend its pages. It is not a cookie. The Remove link beside the code box deletes it, and so does clearing your browser's site data.
- Your network address. It is passed on with each conversion request so that the allowance is counted per visitor and not per server. Allowance counters are kept by the conversion service for as long as they are needed to enforce the allowance.
- Hosting logs. Cloudflare serves this site and may log your network address, browser type and the pages requested in order to deliver and protect it.
- Fonts. The site's typefaces load from Google Fonts. Your browser therefore asks Google's servers for them, and Google sees your network address and browser details when it does.
- Cookies and analytics. This site does not set cookies of its own and loads no analytics script.
Who else handles data
| Provider | What it does | What it sees |
|---|---|---|
| Modal | Compute. Runs the conversion service. | The uploaded PDF while it is processed, and the network address of the request. |
| The Gemini API vision check for pages that need a second look. Google Fonts for typefaces. | Page images, where a page is sent. Your network address and browser details, for fonts. | |
| Cloudflare | Hosting, DNS and delivery of this site, and the relay that passes an upload to the conversion service. | Requests to the site, uploads in transit, and network addresses. |
| PayPal | Takes the Pro and Team subscription payments. | Payment details and billing email address. This site never sees a card number. |
Your choices, and how to reach us
You can ask what is held about you, or ask for it to be deleted, by writing to [email protected]. Because uploaded files are not kept, what can be held is limited to billing records, allowance counters and page code balances.
Do not upload a document you have no right to upload. The terms forbid it.
What this policy does not claim
RentRoll Engine holds no SOC 2, ISO 27001 or similar third-party certification, and nothing on this site should be read as saying so. If your organisation requires a certified vendor for confidential documents, do not upload them here.
This policy changes when the service does. The date at the top is the date of the current version.
